I’ve been wondering how people here manage their workload when handling multiple clients at the same time. Sometimes it feels easy to stay organized, but other times everything overlaps — deadlines, revisions, meetings, etc.
Do you follow a strict schedule or just go with the flow depending on priority? I’ve tried using a few tools, but I still feel like I could improve my system. Especially when working with different types of clients, like small businesses vs something like a full service agency, the expectations can be very different.
Would love to hear what’s working for you guys — any tips, tools, or routines that actually help in real situations?
Personally, I’ve noticed that when I don’t plan my day ahead of time, things start to get messy really quickly. For example, I might begin working on one project, then suddenly switch to another because of an urgent message or update, and by the end of the day I feel like I’ve done a lot but actually completed very little. That’s something I’m really trying to fix these days.
One thing that has helped me a bit is writing down tasks the night before. Not anything too complicated, just a simple list of what needs to be done the next day. It gives me a bit of direction when I start working. But still, sticking to that list is another challenge, especially when unexpected things come up.
I’ve also tried using tools like Trello and Notion, and while they’re helpful, I feel like the real issue is discipline rather than the tools themselves. Like, even the best system won’t work if you don’t follow it properly. Sometimes I spend more time organizing tasks than actually doing them, which defeats the whole purpose.
Another challenge is communication with clients. Some clients expect quick replies at all times, while others are more relaxed. Balancing that can be tricky, especially when multiple clients are messaging at once. Do you guys set specific times for checking messages, or do you respond instantly?
Also, how do you deal with burnout? Because handling multiple projects continuously without proper breaks can get exhausting. I’ve had days where I just lose focus completely, and it affects my productivity for the next day as well.
