How to Extract Emails from PST and Save Them as PDF?
#1
I have an Outlook PST archive containing a large number of emails, but I only need to save certain messages as PDF files for documentation and future reference. I’m trying to avoid manually opening every email and using the print-to-PDF option because there are too many messages to review individually.

Ideally, I want to inspect the PST first, search for the emails I need, and then export only the relevant messages. The archive contains several folders and subfolders, so being able to select specific folders would also be helpful. I’m also interested in filtering emails by date because the messages I need are from a particular period.

While researching different approaches, I came across the SysInfo PST File Converter. Its product information mentions PST and OST conversion to PDF along with formats such as EML, MBOX, MSG, CSV, DOCX, PNG, and others. It also provides mailbox preview and search features, which could make it easier to identify the required emails before starting the extraction process.

Attachments are another concern. Some of the emails contain documents that need to be retained along with the messages. The available attachment options include exporting attachments separately, merging them, or excluding them. I would probably test each option with a small group of emails first to see which organization works best for my archive.

I also noticed that maintaining the original folder hierarchy can be useful when extracting a large mailbox. Instead of ending up with hundreds of PDFs in one location, preserving the Inbox, Sent Items, and custom folder structure would make the exported data easier to navigate. Removing duplicate emails could also help when the PST contains repeated messages.

I’m considering using a PST converter tool rather than manually saving emails one at a time. The main requirement is to extract the required messages accurately without changing the original PST data.

Has anyone handled a similar PST-to-PDF extraction project? I’d like to know whether it is better to filter emails by folder and date first, or process the PST in batches and organize the PDFs afterward.
