IndicaOnline POS New York: Fixing Metrc Package Mismatches
#1
Running into a recurring issue with Metrc package mismatches at our New York dispensary. Most transactions look fine at checkout, but later we find that the package deducted in the POS doesn't always line up with what shows in Metrc. It usually happens around returns, manual adjustments, or when similar products are tied to different packages.
Been looking at IndicaOnline in New York because the Metrc-connected workflow seems closer to what we need than constantly fixing package issues by hand. I’m mainly trying to figure out how much of this can be prevented at the register versus what still needs a manager review at the end of the day.

What I'm trying to figure out
  • Are package mismatches usually caused by product mapping, staff selection, or sync delays?
  • Do you check Metrc package IDs during receiving, checkout, or only when something looks wrong?
  • How are you handling returns when the original sale was tied to a specific package?
  • Does your POS warn staff if they’re about to sell from the wrong package?
  • How often are you reconciling package quantities between the POS and Metrc?
Where the problem seems to start
The biggest issue for us is when two packages contain almost identical products. Same brand, same strain or flavor, sometimes even the same SKU, but different package IDs or lots. If the wrong package gets selected once, the inventory can look correct at the product level while Metrc is still off underneath.
That makes the mismatch harder to catch because the total quantity might look normal in the POS. The problem only becomes obvious when someone compares package-level inventory.

The workflow I'm considering
  • Verify package mapping when inventory is received
  • Make sure similar products are clearly separated by package
  • Review returns and voids against the original transaction
  • Check manual inventory adjustments before they sync
  • Compare package quantities in the POS and Metrc every day
  • Investigate mismatches before making another adjustment
For me, a solid New York Metrc workflow should make it easy to see exactly which package was affected by a sale instead of forcing staff to guess later.
If anyone here is running a Metrc-connected New York dispensary POS, I’d be interested to hear what usually causes package mismatches in your store and what checks have actually helped prevent them.
