How do you guys handle inventory syncing between your CBD store's POS system and online shop? I've been looking into this because overselling seems like one of those problems that starts small but can quickly become a headache, especially when you're managing both in-store and online orders. A customer buys the last item at the counter, but the website still shows it as available, and someone else places an order before the stock count updates. Then you're stuck explaining the situation, offering a refund, or trying to find a replacement product.
From what I've seen, the biggest issue isn't always the inventory software itself but how often the POS and website communicate. Some systems update stock almost instantly, while others seem to have a delay that becomes noticeable during busy hours. It also gets complicated when you have multiple product variations, like different CBD strengths, flavors, package sizes, or brands. If those variations aren't tracked separately, the online inventory can look accurate even when the actual stock is completely different.
I've been comparing a few options and came across IndicaOnline while researching inventory management and age verification software for hemp stores. It looks like something worth investigating for CBD retailers that need to manage several parts of their business, although I'm still trying to understand how its inventory features work with different ecommerce platforms. Ideally, I'd want a setup where every sale immediately adjusts the available quantity across all sales channels without requiring someone to manually check and correct stock levels throughout the day.
Another thing I'm curious about is whether people keep a small inventory buffer for online orders. For example, if you physically have five units left, would you display only three or four as available online to reduce the risk of overselling? That seems like a reasonable workaround, but it also means potentially missing sales when inventory is already limited. I'd rather have accurate real-time syncing than rely on manually holding back products, especially if the store carries hundreds of different SKUs.
Returns, canceled orders, and damaged products seem like another potential source of inventory errors. Even if sales sync correctly, the numbers can still become inaccurate when returned items are automatically added back to available stock before anyone checks whether they're actually suitable for resale. I'm wondering whether most CBD retailers handle those adjustments directly through their POS or use separate inventory tools.
For anyone running both a physical CBD shop and an online store, what's been the most reliable approach? Do you use one system for everything, or connect your POS to Shopify, WooCommerce, or another ecommerce platform? I'm especially interested in hearing about actual syncing delays, how you handle low-stock products, and whether automated inventory updates have made a noticeable difference in preventing overselling.
