Managing email archives for dozens of employees can become difficult when every mailbox has to be configured and exported separately. Our IT team needs a practical approach to retain business emails before employee accounts are deactivated, while ensuring that important attachments and historical conversations remain available for future reference.

One option is to configure Google Workspace accounts in Outlook through IMAP and export the synchronized data into PST files. This works for individual mailboxes, but waiting for synchronization can consume considerable time when handling large accounts. Google Vault may also help administrators with authorized eDiscovery access, while the Google Admin Data Export utility generates MBOX archives that require an additional conversion step before they can be used as PST files.

For this reason, I am exploring ways to export Google Workspace email to PST without repeating the same manual process for every employee. Ideally, the solution should support multiple mailboxes, allow administrators to select specific folders or date ranges, and provide a straightforward way to verify the resulting archives.

During my research, I came across the SysInfo Google Workspace Backup Tool. Its listed features include CSV-based batch processing, Workspace Admin Domain-Wide Delegation, direct PST export, date filters, and duplicate removal. It also supports exporting contacts and calendars separately in VCF and ICS formats. These options could be useful for organizations that need to preserve more than email before reclaiming employee licenses.

Another consideration is data verification. Administrators should review export reports, inspect sample messages, check important attachments, and confirm that the required mailbox content is available before disabling the original accounts. Authentication permissions should also be reviewed before starting a bulk job.

If your organization needs to export G Suite to PST for employee offboarding, which method has worked best for you? Do you prefer Outlook with IMAP, Google Vault, or a dedicated migration utility? I would especially appreciate recommendations for handling multiple mailboxes efficiently while keeping the archives organized and easy to validate.
