Full Version: How do you track compliance training without chasing people by email?

Compliance training has a way of turning into a calendar of reminders. Someone needs to complete data protection training, someone else needs a health and safety refresher, and a manager ends up sending the same chaser email every quarter. Spreadsheets work for a while, but they get fragile as soon as headcount grows or people change roles.

Here is a way to think about it that might help anyone in HR, operations or a small L&D team who is stuck with this.

First, separate the questions. "Who has completed what?" is a record-keeping question. "Did the training change anything?" is a different one. Many teams only ever answer the first, and that is what the phrase "learning activity" tends to mean: completions, logins, hours spent.

Second, decide what evidence you actually need to keep. If an auditor or a client asks, can you show who was assigned a course, when it was due, and when it was finished? If that takes an afternoon of digging through folders, the process is the problem, not the people.

Third, look at whether a learning management system makes sense for your size. One option that describes itself this way is https://www.kallidus.com/ , which presents its learning management system and content as a way to simplify compliance, develop people and focus on their potential. Its own tagline talks about moving beyond learning activity and starting to prove impact, which is the same shift described above. It is only one option among several, so compare it against whatever you already use.

Fourth, keep the content side in mind. A platform without good courses just stores empty shelves, and ready-made content is not always a fit for your policies.

Questions for everyone here:
- What do you use today to track mandatory training: spreadsheets, an HR system, or something else?
- How do you handle reminders and overdue courses?
- Has anyone managed to link training data to something measurable, like fewer incidents or faster onboarding?

Curious what has worked and what turned out to be more hassle than it was worth.
