I'm looking for a dependable solution to remove duplicate entries from large Microsoft Excel workbooks. I frequently work with Excel files containing customer records, sales reports, inventory data, employee information, and financial spreadsheets. These files often have tens of thousands of rows collected from multiple sources, which results in duplicate records that need to be cleaned before I can analyze the data.
I've tried using Excel's built-in Remove Duplicates feature several times, but it doesn't always provide the flexibility I need. In many cases, I want to compare duplicates based on only specific columns rather than the entire row. Sometimes I need to keep the first occurrence, while other times I need to keep the latest entry. There are also situations where I only want to highlight duplicate rows before deleting them so I can review the results manually. Unfortunately, the built-in options seem fairly limited for these kinds of tasks.
Another challenge is that many of my workbooks contain multiple worksheets. Running the duplicate removal process separately on every sheet is repetitive and increases the chances of making mistakes. I would prefer a solution that can process multiple worksheets or multiple Excel files without requiring me to repeat the same steps over and over again.
Performance is another concern. Some of my Excel files are well over 100 MB and contain tens of thousands of records. Whenever I use formulas like COUNTIF, Conditional Formatting, or Power Query, Excel becomes noticeably slower, and in some cases it freezes completely. Because of this, I'm looking for a more efficient approach that is designed specifically for duplicate management instead of relying on manual formulas.

During my search, I came across SysTools Excel Duplicates Remover Tool. From what I've read, it seems to support removing duplicates based on one or more selected columns instead of forcing an entire-row comparison. It also appears to provide options for keeping either the first or last occurrence, identifying duplicate as well as unique records, and processing large Excel files without modifying the original workbook until the changes are confirmed. I also noticed that it claims to support multiple Excel file formats and batch processing, which could save a significant amount of time for someone who regularly cleans large datasets.
My primary concern is data accuracy. I cannot afford to accidentally remove unique records because these spreadsheets are used for reporting and business decisions. Ideally, I'd like software that preserves the original formatting, headers, formulas, and worksheet structure while only removing the unwanted duplicate records. It would also be helpful if the tool could generate a clean output file instead of overwriting my source data.
I'm also interested in hearing about real-world experiences from people who have used dedicated duplicate removal software. Is SysTools Excel Duplicate Remover actually reliable for handling large datasets? Does it perform well with workbooks containing multiple sheets? How accurate is the duplicate detection when comparing selected columns? Does it work efficiently with XLS and XLSX files of different sizes?
If you've used this tool, I'd appreciate hearing about its advantages and limitations. Likewise, if you've found another solution that offers similar flexibility and performs well with large Excel files, I'd be interested in comparing the options before deciding which one to use.
My ideal solution should:
  • Handle very large Excel files without slowing down.
  • Remove duplicates based on selected columns.
  • Keep either the first or last occurrence of duplicate records.
  • Process multiple worksheets or multiple Excel files.
  • Preserve formatting, formulas, and workbook structure.
  • Produce accurate results without deleting valid records.
  • Be simple enough for non-technical users to operate.
I'd really appreciate recommendations or feedback from anyone who has experience using dedicated Excel duplicate removal tools, especially SysTools Excel Duplicate Remover, in day-to-day work. I'm hoping to find a reliable solution that saves time while ensuring my data remains accurate and organized.
