Full Version: Scaling a HealthTech Platform Team

Hi everyone, I’m the founder of a growing HealthTech startup building a platform that connects patients with independent healthcare specialists for virtual consultations and long-term treatment tracking. Over the past year, we’ve scaled faster than expected. What started as a simple MVP designed by one freelance product designer has now evolved into a complex ecosystem: patient dashboards, doctor portals, appointment scheduling, secure messaging, analytics for clinics, and even integrations with wearable devices. As we expand into new markets, regulatory requirements and localization are adding even more layers of complexity. Different regions have different expectations around onboarding, privacy explanations, and even tone of communication. We’re noticing that small UX decisions—like how consent forms are presented or how notifications are phrased—can significantly affect trust and engagement. It’s becoming clear that design is no longer just about screens; it’s about shaping the entire experience and perception of reliability in a highly sensitive industry.
The challenge is that our product experience feels inconsistent. Some flows are intuitive and polished, while others feel rushed or disconnected. Our developers are doing their best to fill in design gaps, but we’re starting to see usability complaints from both patients and providers. We’re also preparing for a funding round, and investors have pointed out that our UX maturity doesn’t match our growth metrics. Right now, we have one in-house UI designer, two frontend developers who occasionally handle UX decisions, and a product manager who tries to coordinate everything. I’m unsure whether we need a dedicated UX researcher, a product designer, a UX strategist, or maybe a full design team. At the same time, we’re still careful about costs and don’t want to overhire without understanding clear responsibilities. How do we determine which UX roles are actually necessary at this stage? Should we prioritize research to better understand user pain points, or focus on improving visual consistency and design systems first? And how do successful startups structure their UX teams as they move from MVP to scalable product? I’d really appreciate advice from founders or designers who have gone through this transition and figured out the right balance between speed, quality, and team structure.
