Is there a reliable way to archive Gmail emails locally on a Mac?
#1
Over the last few years, my Gmail account has grown to the point where I'm constantly getting storage warnings. I don't really want to delete important emails, but paying for additional cloud storage every time I hit the limit doesn't seem like a long-term solution either. My goal has been to create a complete local archive on my Mac while keeping everything organized and easy to access later.
After comparing several backup utilities, I tested theĀ MacSonik Gmail Backup Tool, and it checked many of the boxes I was looking for. The software allows bulk backup of Gmail mailboxes, including Inbox, Sent, Drafts, Archive, Trash, Spam, and other folders, while maintaining the original folder hierarchy. That alone makes browsing archived emails much easier than dealing with one massive export.
Another feature I found practical is the selective backup option. Instead of downloading years of email history, I could specify a start and end date so only the messages I actually needed were archived. Since some of my mailbox contained repeated emails from previous imports, the duplicate removal option automatically skipped identical messages, making the backup cleaner and reducing storage usage.
I also appreciated the flexibility in handling attachments. Depending on the project, I could either include attachments with every email, exclude them entirely for lightweight backups, or save attachments separately in their own folder. That level of control isn't something I've seen in many backup tools.
Once I confirmed the backup was complete, I noticed the software also provides an option to remove backed-up emails from the Gmail server, which can help recover valuable storage space without losing access to important messages stored locally.
The application works on both Apple Silicon and Intel-based Macs, and the free trial lets you back up up to 50 emails per folder, making it easy to test before purchasing.
For anyone managing years of Gmail data on macOS, do you prefer keeping a complete local archive or relying entirely on Google's cloud storage? I'd be interested to know what backup strategy has worked best for you.
