Exporting shared mailbox to PST in Microsoft 365 is often required for backup, migration, compliance, or offline access. Since shared mailboxes usually contain important team conversations, attachments, contacts, calendars, and other business data, it is important to use a secure and reliable method. One practical way to export shared mailbox to PST is by using the SysInfo Office 365 Export to PST Tool, which is designed to handle shared, public, archived, and primary mailboxes without requiring Microsoft Outlook installation.
To begin the process, first install and launch the SysInfo Office 365 Export to PST Tool on your Windows system. After opening the software, choose the backup option and sign in with valid Microsoft 365 credentials. If you need to access multiple shared mailboxes, you can use the Assign Impersonation feature or import a CSV file containing multiple account credentials. Once logged in successfully, the tool displays a tree-structured preview of all available mailboxes, including shared mailboxes and their subfolders. This preview option allows you to verify emails, attachments, contacts, and other mailbox items before proceeding.
Next, select the shared mailbox that you want to export and click Next. From the list of available saving formats, choose PST as the output option. Before starting the export, you can apply additional features such as Date Filter to export emails within a specific time range, Remove Duplicate option to exclude similar items based on To, From, Subject, Bcc, or Body, and Split Resultant PST to divide large PST files into smaller sizes for easier management. After setting the destination path, click Convert to initiate the export process.
The software maintains data integrity, preserves folder hierarchy, and supports bulk export of shared mailboxes of any size. Additionally, the trial version allows exporting up to 50 emails per folder for evaluation. This structured approach makes it easier to export shared mailbox to PST efficiently and securely in Microsoft 365.
